What is it, and why use it?
Standard Work documents an agreed repeatable method, with responsibilities, quality and safety points, visual instructions and explicit document revisions.
It gives people a shared method to practise, review and improve rather than relying on undocumented individual habits.
Explore the Standard Work Builder features and local-file workflowWhen to use it
Use it after testing a method and agreeing its operating boundaries, and whenever a changed instruction needs a controlled revision.
When another tool fits better
Use a Flowchart first for unresolved routing and decisions. Use Training and Handoff to record learning and demonstrated competency.
Before you start
- A tested method and participation by the people who perform it.
- An owner, scope, review dates and locally approved quality/safety requirements.
- Optional non-sensitive PNG/JPEG demonstrations with accessible descriptions.
Use fictional or approved non-sensitive information. Do not include patient details or proprietary records in practice worksheets.
Step-by-step in CI Tools
Complete Document information, including process, purpose and scope, owner, version and review dates.
Add work instructions with quality and safety points. Enter substeps one per line and use the named move, duplicate or insert controls to arrange them.
Import Flowchart Steps only after previewing the selected steps; a branching diagram does not automatically become one linear work sequence.
Review the four document views and choose the document layout named above the editor for export. Add image descriptions when attaching approved demonstration images.
Record explicit document revisions and review changes with the process owner. Save an editable computer file and export the chosen layout for use at the workplace.
Worksheet recovery and document control are separate
Browser recovery helps retain edits. A document revision records a deliberate change in the agreed work method, with an owner and review. Save controlled copies to your computer; this beta does not distribute or enforce document versions across an organization.
Completed worked examples
Demonstrations only: all organizations, observations, targets and results below are fictional. They are not clinical instructions or universal performance standards.
Healthcare operations — fictional
Prepare reception desk
Starting information: A fictional reception team agrees a non-clinical opening sequence.
| Step 1 | Check the current appointment-system availability using the approved procedure |
|---|---|
| Step 2 | Confirm blank supplies and the operational contact list are ready |
| Quality point | Use the current checklist version; escalate unavailable equipment to the designated lead |
What the result means: The instruction is operational preparation, not a clinical protocol. Real safety and downtime procedures need local approval.
General business — fictional
Pack a sample order
Starting information: A fictional business defines a packing sequence for a sample product.
| Step 1 | Match sample order identifier to the packing record |
|---|---|
| Step 2 | Select the specified packaging and check quantity |
| Quality / revision | Verify the label before sealing; version 2 adds the quantity check |
What the result means: The revision explains what changed. A readable export is not proof that staff have practised or demonstrated the method.
Practise in a separate worksheet
Open the tool’s built-in synthetic sample as a new editable worksheet. It may differ from the worked demonstrations above. It never replaces an existing worksheet. Save any work you want to retain to your computer.

Common mistakes and how to avoid them
- Documenting an untested ideal method: observe and test with the people doing the work.
- Treating automatic worksheet history as approved document revision: record the revision explicitly.
- Importing decision branches as an invented linear procedure: review the sequence.
Interpret the result
Review whether someone new to the task can follow the instructions and recognize the quality checks. Use audits and observed practice to evaluate implementation; the document alone cannot ensure adherence.
Record the assumptions and unanswered questions alongside the result. Use the relevant local review process before making operational decisions.
